Dear ICASSP Attendees,

The conference invitation letter along with the Ministry documents, based on the first batch of clearances, are now available for download here. We are still waiting for the remaining names to be cleared and will update as soon as we receive them.

If your name has been cleared, you will be able to download a .zip file that includes the following documents required for submitting the e-conference visa application:

    1. Conference invitation letter from the organisers.
    2. MEA Clearance letter that has a list of cleared names including yours [If the file is named <name>.pdf.pdf please rename it as <name>.pdf].
    3. MHA document. Another version of the MHA document less than 1MB is available for download here.

To submit the online e-visa application, click here. When the system asks for the MHA letter, please upload the MHA document (less than 1MB version).

STEPS FOR OBTAINING A CONFERENCE VISA

    • All foreign nationals require an Indian conference visa.
    • The first step is to submit your passport details using this link if you have NOT submitted already. PLEASE SUBMIT IT BY 20 JAN 2025. We are aware that submission of the form has triggered an error message for a small number of people. Our technicians are working to resolve this, but if you are one of the people affected, please send the necessary information by e-mail to the conference organizers at visa@2025.ieeeicassp.org.
    • If you registered for the conference and submitted all the information needed for obtaining clearance for the conference visa (regular or e-visa)  by January 20, 2025, and we are unable to secure the clearance letters for you, we will find alternate ways for you to present your paper.
    • After obtaining the passport details, we will then send these details to the Ministries to obtain the clearance letter and other conference approval letters.
    • After obtaining the clearance letter and other necessary conference approval letters we will then generate the visa invitation letter (pdf with attendee details & organisers’ signatures) and share all required  letters with the attendee.
    • Attendees need to apply for the e-CONFERENCE VISA or a REGULAR CONFERENCE VISA after obtaining the required  letters and uploading the above documents along with other relevant information.
    • The REGULAR VISA  option requires the applicant to submit the application form with all relevant documents along with the passport to the Indian embassy/consulate in the applicant’s country. The application form needs to be filled online, submitted online, downloaded and printed for submitting it to the Indian embassy. The visa will be stamped in the passport and returned to the applicant.
    • The e-CONFERENCE VISA  option requires the attendee to submit the application form online uploading the required documents.
    • The e-conference visa approval will be notified via email and the visa will be stamped at the approved  ports of entry on arrival.
    • You can arrive at 31 e-Visa designated airports (Ahmedabad, Amritsar, Bagdogra, Bengaluru, Bhubaneshwar, Calicut, Chandigarh, Chennai, Cochin, Coimbatore, Delhi, Gaya , Goa (Dabolim), Goa (Mopa), Guwahati, Hyderabad, Indore, Jaipur, Kannur , Kolkata , Lucknow , Madurai, Mangalore, Mumbai, Nagpur, Portblair, Pune, Tiruchirapalli, Trivandrum, Varanasi and Vishakhapatnam) and 6 designated seaports (Chennai, Cochin, Goa, Mangalore, Mumbai and Port Blair). However you can depart from any of the authorized Immigration Check Posts in India.The steps involved are outlined in this document.
    • Family members who are accompanying attendees should apply for the  tourist  visa (regular or e-visa).
    • PLEASE APPLY FOR A VISA ONLY AFTER OBTAINING THE CLEARANCE LETTER, CONFERENCE INVITATION LETTER AND OTHER CONFERENCE APPROVAL LETTERS FROM THE ORGANISERS.
    • Potential attendees can apply for a conference visa (regular visa or e-visa) on the official Indian government portal.
    • No requirement of vaccinations for visa.
    • Conference organisers will provide appropriate information and support.
